Receptionist & Office Administrator (Fixed-term contract )

In this position, you will be the first point of contact for Entersekt customers, vendors and employees – you will be the face of the company. To fulfil this role, you’ll need to be personable, friendly and professional.

The ideal candidate

We are looking for a highly organized individual who is confident and can manage multiple tasks. You are customer-centric and solution-focused and will happily get involved in a wide variety of activities.

Responsibilities

  • Answering all incoming telephone calls
  • Liaising with guests (clients and customers)
  • Vendor management: office cleaners, barista, maintenance, and security services
  • Support HR & administrative division in credit card recon, quotations, purchase orders, supplier invoices
  • Procurement and management of stationary, office supplies, cleaning materials, groceries, consumables, Friday staff lunch, electricity meters (top up)
  • Arranging maintenance of generator, pump room, coffee machines, watercoolers and lift
  • Organizing refreshments for meetings
  • Booking and sourcing conference facilities
  • Ordering office furniture, and ensuring payment and delivery according to schedule
  • Coordinating renovations (building, electrical, plumbing, networking, painting contractors)
  • Initiating and coordinating repairs and general maintenance to buildings
  • Daily email updates to all staff
  • Access tags & access control: management and order of tags
  • Coordinating alarm service, technical support, installation and maintenance
  • Managing and assisting with internal company events
  • Assisting with courier services when needed
  • Booking meeting rooms
  • Onboarding new staff

Skills & Experience

Successful candidates will generally possess the following skill and qualifications:

  • Office management, administration certificate or similar qualification
  • 2-3 years’ office administration, customer service and reception experience
  • Equipped to work with Microsoft Office
  • Experience in facility management will be advantageous
  • Ability to efficiently support individuals and departments within the organization
